A reliable canopy quote is less about memorizing product names and more about asking the right questions early. Use this checklist to turn a vague request for a branded tent into a specific, event-ready recommendation.
Confirm the space first
Ask for the customer's usual booth allotment and measure any tight entrances, indoor transitions, or storage areas. A 10x10 is the common starting point, while 10x15 and 10x20 options provide more room when the venue allows it.
Also ask whether the customer needs a table, product shelving, a clothing rack, or room for people to stand inside. The footprint should support the activity, not just the logo.
Choose the coverage and package
Clarify whether the customer wants an open setup, a back wall, extra side coverage, or a fully enclosed branded look. The wall configuration affects printed area, privacy, weather protection, and how customers enter the booth.
Then decide whether the quote should include a table cover, flag, or backdrop. Bundling related products creates a more consistent experience and avoids a second design scramble later.
Write down the production details
Record the final artwork deadline, proof approval, delivery address, event date, and the person responsible for approving the design. Most catalog products list 7–10 business day delivery, but a deadline should always be confirmed for the actual configuration.
Finally, tell the customer how to use the display safely: anchor each leg, use stakes or weights appropriate to the surface, and take it down in severe wind.
